Placing and verifying worker access points

1. Where to place access points

• Place posters where workers can access them discreetly and safely during normal hours.
• Place access points where workers normally and freely pass — canteens, break rooms, changing areas, entrances to housing or transport pick-up points.
• Where possible, avoid locations obviously monitored by management or cameras, such as directly next to a supervisor's office or in view of a camera aimed at the poster.
• Put the poster at eye height, in good light, where a phone can scan it without standing out.
• Use the languages agreed for this site; the reporting page itself also offers a language choice.
• Where agreed, place the smaller intro QR code next to the main one so workers can read how the channel works first.

2. What you must never do

• Do not discuss individual reporters, possible reporters or reports with local management, supervisors or recruiters.
• Do not collect worker stories, names, phone numbers or complaints. If a worker wants to report, point them to the QR code or the helplines on the poster.
• Do not photograph people, faces, name badges or screens. Photograph the poster only.
• Do not record precise GPS coordinates. Record the site and a rough area (e.g. "canteen, ground floor").
• Never ask workers whether they have reported, or whether they will use the channel.
• Never collect allegations in group settings, briefings or toolbox talks.
• Never photograph workers. Do not keep unnecessary precise GPS or photo metadata (EXIF).

3. Checklist per access point

• Correct site and agreed location for this access point
• Visible and physically accessible to workers during normal hours
• Languages match what was agreed for this site
• QR code tested with a phone — the reporting page opens
• Intro QR code (if used) tested — the introduction page opens
• Poster condition: intact, readable, not covered or defaced
• Date and time of the check
• Check type: announced or unannounced
• Next follow-up check date agreed
• Optional: one photo of the poster only (metadata is removed on upload)

4. Recording the check in Libera

A workspace member records the check under Worker access in the console: site, access point label, check type, points agreed vs. available, verifier, rough area, next due date and an optional poster photo. Photos are re-encoded in the browser to remove location and camera metadata before upload; no precise GPS is stored. Once a check is recorded for an access point, the register shows installation evidence recorded. This is a record that the channel was observed as available — not a finding about the supplier and not proof that workers used it.

Required per access point, where safe: one site-level verification record — access point label, coarse area, date, verifier and, where safe to take, one photo of the installed poster only.

Contractor and freelancer payment (including platforms such as Upwork) is handled outside Libera. Libera does not approve or trigger payments from photos, GPS or metadata. Payment, contracting or approval of coordinators (including freelance platforms) happens outside Libera. Libera does not link check records to payments.
